Help sorting files into subfolders Mon Apr 03, 2017 8:41 pm • by maweirhazel
I do not understand how to use this tool but have made several things work by trail and error and I am sure some by accident. It gets a lot of things done for me. Thank you.

I am sure that there is a better way to write this and am looking for some help. If I turn on all of the rules at once it will delete folders during the "Clean Up" rule. If I run the rules one at a time in the order in which they are outlined below they work as expected but I would prefer to leave them all running all of the time. Also if there is a way to delete any empty folders once they are processed that would be ideal.

These rules are all in the same "Email Archiver" folder that contains several subfolders at the time of processing:

Rule 1. Traverse Folders
If all of the following are conditions are met
Kind is folder
Do the following to the matched file or folder:
Run rules on folder contents

Rule 2. Flatten Folders
If any of the following are conditions are met
Any File
Do the following to the matched file or folder:
Move to the "Email Archiver" Folder

Rule 3. Clean Up
If any of the following are conditions are met
Kind is not PDF
Name contains "Autoship order ready"
Name contains "FC Order Approval Needed"
Name ends with "copy"
Name does not contain "-"
Name does not contain "."
Name contains "Backup Finished Successfully"
If all of the following are conditions are met for the current file or folder
Extension is pdf
Name does not contain "Z "
Do the following to the matched file or folder:
Move to the folder trash

Rule 4. Archive by Year & Month
If all of the following are conditions are met
Filename matches • YYYY,• -MM-,• DD,…
If any of the following are conditions are met for the current file or folder
Extension is PDF
Move to the folder "Email" (This is the parent folder of "Email Archiver)
Sort into subfolder with pattern: • YYYY,▸,• YYYY,-,• -MM- ⇔

Thank you very much for any specific help/direction.

The order of the rules is important. The first rule to match is the one that gets run. The way you have them ordered now, all folders will match the first rule and everything else, the second. Try reversing the order of the rules. Also, make heavy use of the status interface (the eye button) to check your work.
